Editing transcripts is a crucial step in the transcription process that allows you to refine and polish the transcribed text. In this guide, we will explore various techniques and tools to effectively edit transcripts using Notta.

Review Audio and Transcript

Audio Playback Operations

  • Playback speed: Increase the playback speed to accelerate the audio progress. Simply click on the "1x" option located to the left of the playback button. You have the flexibility to choose a speed ranging from "0.5x" to "3x".
  • Skip silence: If encountering sections of silent or blank audio, you can skip over them by enabling it.
  • Skip forward or backward by 3 seconds:You can click the forward button to skip ahead by 3 seconds or click the backward button to go back to the previous 3 seconds of the audio.

  • Position-based playback: Use the audio bar to navigate and play the audio from specific positions. By dragging the audio bar, you can quickly locate and play the desired sections of the audio. You can also hover over a block and click [Play] to play from that block or click on any word to play from that position.

As the audio plays, the corresponding word will be highlighted in yellow.

Find and Replace

By utilizing the search and replace functions, you can efficiently locate specific keywords or phrases and make bulk corrections throughout your document or text. 

1. Click on the "Find & replace" icon in the upper right corner.

2. Enter the keyword you want to search for, and the matching words will be highlighted.

3. To make bulk corrections, enter the text in the "Replace" field, and click "Replace All" or "Replace" to complete the replacement.

Add Tags

While listening to the audio, you can mark important sections to highlight key points. This allows you to easily identify and reference them during playback. 

To add a tag to a specific section or block, position the cursor over it, then click on "Bookmark".

Or click on "Bookmark" at the bottom of the detail page.

Keyboard Shortcuts

Take advantage of keyboard shortcuts to streamline operations and improve efficiency. To view the keyboard shortcuts available for editing, click [More]→ [Shortcuts].

Hide Timestamps

Hiding timestamps removes the display of time indicators within the transcript, providing a cleaner and distraction-free reading experience.

Click [More] in the upper right corner and switch on the [Hide timestamps] toggle to hide timestamps.

Conversation Insights

The Conversation Insights feature provides the total silence duration and a deep dive into the transcript, helping you better understand your recordings. If you've made changes to the transcript, you can manually regenerate these insights to reflect the updated content.

*Currently, the Conversation Insights feature is available in Japanese, English, French, German, Portuguese, Russian, and Spanish. 

1. Check the percentage of speaking time for each speaker.

2. Select specific speakers to play their contents.

If you tick boxes next to specific speakers, only their content will be highlighted. When you click the blue [Play] button, only the highlighted content will play, the non-highlighted content will be skipped.

4. View the detailed information of selected speaker.

Edit the Transcript

Edit Speakers

When speaker identification is enabled, the names of speakers are usually displayed as "Unknown speaker",  "Speaker 1," "Speaker 2," and so on. You can use the speaker editing feature to batch replace these default names with actual names. Here are the specific steps:

1. Click on the speaker you want to edit.

2. Enter or select the correct name for the speaker.

3. When you click "Replace name in all blocks of this speaker," the system will replace all occurrences of the same name in the transcript. For example, it will replace all instances of "Speaker 1" with "Linda."

4. If you click "Replace name at the current block," only the name in the clicked block will be modified, while the names in other blocks will remain unchanged.

Correct the Transcript

1. Hover over the text you want to edit and click it to enable editing.

2. If you see "Already saved" in the top left corner, it means that the edits are automatically saved.

3. To modify the recording's title, click on the title and make the changes. The modifications will be automatically saved, eliminating the need for manual saving.

Insert Pictures

Inserting pictures to a transcript enhances the audio experience by including relevant visual content. This feature is useful for incorporating presentation slides, diagrams, or other visual aids that complement the audio and improve understanding.

1. Turn on the editing toggle or double-click the transcript to edit.

2. Place the cursor at the desired block and click the [Insert pictures] icon.

Merge and Split Blocks

1. Place the cursor at the beginning of the block.

    And then press the Backspace key on your keyboard to merge it with its previous block.

You can also merge adjacent blocks of the same speaker by clicking the button in the drop-down list of [More].

2. To split a block, place the cursor where you want to create a new line.

    And then press the Enter key on your keyboard to split the block.

Delete Blocks and Undo Actions

1. Hover over the block you want to delete and click on the [Delete] icon to delete the whole block.

2. Click the [Undo] button in the top left to revert to the previous version of the transcript before your most recent edit. Click the [Redo] button to restore the action you just undone.

Automatic Correction

When the audio is unclear, the automatic correction feature may help identify and flag those sections for further review or clarification.

Toggle on the [Automatic correction] option to enable automatic correction. Text containing potential errors will be highlighted with a red underline.

You can either toggle off the option or click [Dismiss] to hide the underlines.

Write Meeting Minutes

Add Notes

Adding notes to specific sections allows you to include additional comments, insights, or reminders related to the audio content.

1. Click on the desired section to add a note by using the Bookmark feature.

2. Enter your note and click anywhere on the screen to save it.

3. Click on the [Bookmark] icon to show or hide the tag list.

4. If you want to change or delete a bookmark, hover over your target bookmark, and you will see a dropdown list for selecting bookmark and a [︙] button for deleting bookmark.

AI Summary

Before viewing the transcription text, you can utilize the AI summary feature to generate an outline. This can help you determine whether it is worth reading in detail or provide a general understanding before diving into the detailed content.

1. The AI will automatically generate a summary based on the selected template. You can choose from various templates like "General" to fit your specific needs.

2. If the result is unsatisfactory, you can choose to regenerate it.
