Editing transcripts is a crucial step in the transcription process that allows you to refine and polish the transcribed text. In this guide, we will explore various techniques and tools to effectively edit transcripts using Notta.

Review Audio and Transcript

1. Audio Playback Operations

  1. Playback speed: Increase the playback speed to accelerate the audio progress. Tap on the "Option" button. You have the flexibility to choose a speed ranging from "0.5x" to "3x".
  2. Skip Silence: If encountering sections of silent or blank audio, you can skip over them by enabling it.
  3. Position-based playback: Use the audio bar to navigate and play the audio from specific positions. By dragging the audio bar on the right side, you can quickly locate and play the desired sections of the audio.

  4. Skip forward or backward by 3 seconds:You can click the forward button to skip ahead by 3 seconds or click the backward button to go back to the previous 3 seconds of the audio.

 

2. Search

By utilizing the search functions, you can efficiently locate specific keywords.search1.pngsearch2.png
Tap the "🔍" icon and enter the keyword you want to search for, and the matching words will be highlighted. 
 

3. Add Tags

While listening to the audio, you can mark important sections to highlight key points. This allows you to easily identify and reference them during playback.

  1. Swipe the block to the left.
  2. Select the blocks you want to mark. 
  3. Click "Bookmark" at the bottom.
  4. Choose the appropriate tag type from options such as "Key point", "To-do", or "Project".
  5. Click the "Bookmarks"  to see all marks.

You can change the mark type by repeating the operations from step1 to step 4, or tapping specific mark to enter detail page.

In this page, you can also remove any marks by swiping left.

4. Hide Timestamps

Hiding timestamps removes the display of time indicators within the transcript, providing a cleaner and distraction-free reading experience.

Tap [···] in the upper right corner and switch on the [Hide timestamps] toggle to hide timestamps.

 
 

Edit the Transcript

1. Edit Speakers

When speaker identification is enabled, the names of speakers are usually displayed as "Speaker 1," "Speaker 2," and so on. You can use the speaker editing feature to batch replace these default names with actual names.

Here are the specific steps:

  1. Tap on the speaker you want to edit, such as "Speaker 2."
  2. Enter or select the correct name for the speaker, such as "Maureen."
  3. When you tap "Apply to all related blocks," the system will replace all occurrences of the same name in the transcript. For example, it will replace all instances of "Speaker 2" with "Maureen."
  4. If you tap "Apply to current block," only the name in the clicked block will be modified, while the names in other blocks will remain unchanged. 

2. Correct the Transcript

  1. Tap the "Edit" button to enter edit mode.
  2. Edit your transcript in any text block to modify the text.
  3. Tap the "Save" button to save changes.
  4. To modify the recording's title, tap on the title and make the necessary changes.

3. Insert Pictures

Inserting pictures to a transcript enhances the audio experience by including relevant visual content. This feature is useful for incorporating presentation slides, diagrams, or other visual aids that complement the audio and improve understanding.

  1. Hold down the desired block.
  2. Tap on the "Insert Pictures".
  3. Select the image you wish to insert from your photos or take a photo.

Tap on the inserted image to open its detail page, where you can save or delete the selected one.

4. Correction Reference

When the audio is unclear, the automatic correction feature may help identify and flag those sections for further review or clarification.

Toggle on the "Correction reference" option to enable automatic correction. Text containing potential errors will be highlighted with a red underline.

 

 

AI-Powered Insights

AI Summary

Before viewing the transcription text, you can utilize the AI summary feature to generate an outline. This can help you determine whether it is worth reading in detail or provide a general understanding before diving into the detailed content.

  1. Tap the [Summary] icon.
  2. Tap "Generate"
  3. Tap the [Copy] icon to copy the text if you need to save the message.

Note: Editing functionality is currently not supported on the mobile app. Please switch to the desktop website for editing.

 

AI Chat

To access AI Chat, open any transcript. Once the transcript is open, the AI Chat icon is shown then you can tap on to start a chat.

  1. Tap the "AI Chat" icon.
  2. Enter your prompts or questions.
  3. Start a chat.
    • To save the message, tap the [Copy] icon to copy the text, then paste it to wherever you like.
    • If the result is unsatisfactory, you can choose to regenerate it.

Clear the history: The chatting history will retained for max 60 days unless you clear history by tapping the icon at the upper right corner.

Terminate the chat: Tap the [×] icon at the upper right corner.
