Data integration with Kintone

Kintone is a cloud service that allows you to create apps that systemize and streamline your business without any programming knowledge. With the Notta integration, you can seamlessly sync meeting minutes to Kintone, enabling you to keep detailed records of client conversations and agreements.

This article explains how to send transcripts and AI Notes from Notta to Kintone.

Note: Administrator authorization is a prerequisite for Kintone and Notta integration. Refer to this article for the authorization setup process.

Prerequisites for using this feature
Plan: Available on Business plan and Enterprise plan
Role: Any role with Can edit and download or higher permissions, plus admin approval
Platform: Notta Web

 

Data that can be synced to Kintone

Currently, the following information can be synced to Kintone:

 

Integration procedure

  1. In the bottom left of the Notta Web version, click Integrations & Apps
  2. Under Kintone, click Connect, and follow the instructions to complete the integration.
  3. Open a record in Notta, click the Send to icon in the top right corner, and select Send to CRM > Kintone.

  4. You can create a new record or sync data to an existing record based on Notta data. For detailed instructions, see below.

    Save as a new Kintone record
    1. Select the app.
    2. Click New Record to display a link to the Kintone record creation page. Click the link to open the page.
    3. In the Advanced options section, check the data you want to sync.
    4. After selecting the data to sync, click Copy # options to save the data to the clipboard.

    5. Go to the Kintone record creation page and paste the copied data into the save destination field. Once all required fields are filled in, click Save to create the new record.

    Save to an existing Kintone record
    1. Select the app.
    2. Click Select Existing Records.
    3. Expand the dropdown list under Select fields to identify records and choose a field to use as the search criterion. Available fields vary by app, but typically include company name, contact name, email address, and similar options.
    4. When you select a field, a new dropdown list appears below. Expand it to view the available values, then select the one that matches the record you want to integrate with.
    5. In Select the save location, select the field where you want to save the Notta data. Currently, the available field types for saving are Rich text and Text area.
      • If a save location field exists, select it from the list
      • If none exists, create a new one*

    6. In the Advanced options section, check the data you want to sync.

    7. Click Send to execute the data synchronization.

    8. Open the specified app in Kintone and click the blue document icon on the left side of the specified record to open the record's details screen.

    9. Data synced from Notta will be displayed in the specified field.

FAQs

How do I troubleshoot the error message: "You do not have permission to use OAuth. Ask your administrator to configure the necessary settings."?

If you see the message "You do not have permission to use OAuth. Ask your administrator to configure the necessary settings.", your account may not be specified as an authorized user of the OAuth client. Please contact your administrator to request permission. For information on how to configure users, please refer to "Authorization setup for Kintone integration┃Administrator Guide".

Cannot select a save location field when syncing to an existing record. See "No data".
  1. Open the app you want to integrate within Kintone and click the gear icon displayed in the app's menu bar.

  2. Drag and drop the Rich text field or Text area field to add it to the form.

  3. Click Update app to save the changes.
