Record and transcribe online meetings

Record and get live transcripts of your Zoom, Google Meet, Teams, or Webex meetings with Notta Bot. This helps you stay on top of discussions and boost meeting productivity.

This article will show you how to manually start Notta Bot recording and transcription. For automatic participation setup, see this article.

Overview

Here's a quick overview of the 4 steps to manually start Notta Bot recording. Click the links below to jump ahead, or start from Step 1 if you're new.

 

Step 1: Invite Notta Bot to the meeting

You'll need to invite the Notta Bot to your meeting using the meeting invitation link. Please refer to the links below for instructions on how to obtain the meeting invitation link for each platform:

Notes:

  • Please ensure the meeting is already in progress.
  • For Webex, we currently only support standard Webex Meeting links that include a passcode. Webex Webinars are not supported at this time.
  • For Zoom, computer recording must be enabled for external participants. Zoom Webinars are currently not supported.
  • For Microsoft Teams, meetings that require user authentication are not currently supported.

Notta may not work with all meeting setups due to different company policies.
Besides the above limitations, other unsupported meeting types may exist.

Notta Web Notta Mobile App
  1. Log in to Notta Web using a computer browser and click Record online meeting.

  2. Set the Transcription language to match the language actually used in the meeting.
  3. Paste the meeting link.
  4. If needed, you can also configure the following in the Advanced options:

    • Customize your bot name (not available for Google Meet)
    • Turn off or on the recording notification poster
    • Enable monolingual real-time translation
    • Disable or enable video recording (if disabled, only audio will be recorded)
  5. Click Transcribe now.

Step 2: Host approves Notta Bot's entry

If the waiting room or lobby is enabled, Notta Bot will need the host's approval to join the meeting. 

Note: If the host does not approve Notta Bot's entry within 5 minutes, Notta will be automatically removed from the meeting.

When meeting policies allow guests to bypass the waiting room or lobby, the host can skip approving the bot's entry. However, Zoom will still require recording permission, which cannot be bypassed.

Please refer to the following instructions on how to approve Notta Bot's entry on each platform.

Zoom
  1. If you have enabled the Zoom waiting room, a request from Notta Bot to enter the meeting will appear. Click Admit to allow Notta Bot to enter from the waiting room.

  2. When Notta Bot enters the meeting, the host will receive a recording request. Click Approve to permit Notta Bot to record.

Google Meet

Except when the meeting access type is set to Open, a request from Notta Bot to enter the meeting will appear. Click Admit to allow Notta Bot to enter.

Microsoft Teams

If you have enabled the Teams lobby, a request from Notta Bot to enter the meeting will appear. Click Admit to allow Notta Bot to enter from the lobby.

Webex

If you have enabled the Webex lobby, a request from Notta Bot to enter the meeting will appear. Click Admit to allow Notta Bot to enter from the lobby.

Step 3: Real-time recording and transcription

  1. Log in to Notta Web using a computer browser. Find the transcription task and open it.online-meeting-en-08.png
  2. Notta will generate the live transcript as the meeting progresses.

Step 4: End the recording and transcription

You can manually end the recording and transcription using any of the following methods. Once the recording and transcription stop, either manually or automatically, your recordings and transcripts will be saved in your Notta workspace for future review, editing, or sharing.

Method 1: End from within Notta

Notta Web Notta Mobile App
  1. Log in to Notta Web using a computer browser. Find the transcription task and open it.

  2. Click the End recording button at the bottom center of the screen.

Method 2: End from within the meeting

Zoom
  • Option 1: If the meeting is over, click End (the X icon) > End meeting for all.

  • Option 2: If the meeting is still in progress but you no longer need Notta Bot to record and transcribe, remove it from the participant list.

Google Meet
  • Option 1: If the meeting is over, click Leave call (the telephone icon) > End the call for everyone.
    * To make the "End the call for everyone" option available, the host needs to enable Host Management.

  • Option 2: If the meeting is still in progress but you no longer need Notta Bot to record and transcribe, remove it from the contributor list.

Microsoft Teams
  • Option 1: If the meeting is over, click the V icon beside the telephone icon > End meeting.

  • Option 2: If the meeting is still in progress but you no longer need Notta Bot to record and transcribe, remove it from the participant list.

Webex
  • Option 1: If the meeting is over, click End meeting (the X icon) > End meeting for all.

  • Option 2: If the meeting is still in progress but you no longer need Notta Bot to record and transcribe, expel it from the participant list.

Besides ending manually, Notta Bot will automatically leave the meeting and stop recording & transcribing when either of the following occurs:

  • No other participants remain in the meeting.
  • The maximum recording duration of 5 hours is reached.
