Notta can automatically generate AI notes and sync them to your CRM (currently supports Salesforce and HubSpot) after your meeting transcription is complete. This helps your team keep CRM records up to date without manual input—saving time and reducing errors.

🔧 Set up CRM automation
- Go to Settings > Automations in your Notta Web workspace.
- Click Create automations.
- Name the automation, and then set the Trigger.
- Set the Action. Choose a template for AI Notes generation. The default template is Sales Pitch.
- Add a second action and select Sync to CRM. You can choose whether to sync to Notes or Meetings (in Salesforce, these correspond to Log a Call or Tasks), and whether to associate the summary with a Deal or a Contact.
- If your workspace is on the Free or Pro plan, a pop-up will prompt you to upgrade to the Business plan.
Automation rule: When you record a meeting via a calendar event, Notta will extract email addresses from the event’s guest list to find the associated Deal in your CRM and automatically sync the summary.
✉️ Optional: email notifications
You can choose to receive email notifications when the automation runs.
- This option is available once Sync to CRM is enabled.
- If enabled, the automation creator will receive one email every 5 minutes, regardless of how many automations are triggered during that time.
- Failed sync attempts will not trigger notifications.
🔍 How Notta matches CRM records
- Notta extracts email addresses from your calendar event guest list.
- It matches those emails to Contacts in your connected CRM.
- If a Contact is linked to multiple Deals, the most recently updated Deal is selected.
- If syncing to Contact, Notta will sync to a maximum of 3 matched Contacts per event.
- If no matching Contact or Deal is found, the notes will not be synced.
⚠️ Notes & Limitations
- Automation only applies to meetings recorded via calendar events.
- You can customize whether to sync to Notes or Meetings, and to Deal or Contact based on your workflow.
- Currently supports Salesforce and HubSpot only.
