This guide explains how workspace administrators can manage folders across the entire workspace. By using these tools, administrators can organize content efficiently, control access, and ensure smooth collaboration for all members.
Prerequisites for using this feature
Plan: Available on Enterprise plan
Role: Only the Owner and Admin can configure
Platform: Notta Web
Open resource manager
- Click on your Profile image in the top right corner of the screen, then select Settings.
- Once the settings menu appears, select Resource Management to access the resource manager.
Resource manager overview
- Total Resources: Displays the number of folders and the total number of recorded files in the current workspace.
- Member Groups: Displays the total number of member groups.
- Member Groups detail: All member groups in the current workspace are displayed horizontally.

All Folder: Folders are displayed in a tree structure. You can expand each level to view its contents.
Note: Currently, you can create up to 8 folder levels.
- Edit Mode: Clicking this button switches to edit mode, allowing you to change the access permissions for each folder.
- Full Screen View: Hides the navigation bar and displays the Resource Management page in full screen.
- Permissions and Permission Custom Menu: Displays the current permissions for each group. Clicking a permission in edit mode will expand the Permission Custom Menu.
Manage folder access via resource manager
To manage resources in the resource manager, check your workspace for existing groups and folders.

- Groups: Check Settings > Members to view or manage your existing groups.
- Folders: Check the Home or All Notes page for existing folders.
Once your groups and folders are in place, follow the steps below to review and adjust access settings as needed.
- Navigate to the Resource Management page.
- Click on Edit in the top right corner.

Click on the permissions, and select the desired permission.
Notes:
- When you change the permissions of a parent folder, the permissions of all subfolders and recorded files within it will be updated automatically. If you do not want this inheritance, please set permissions for subfolders and files individually.
- Folder permissions that have been changed during the current session are shown in yellow.
- Click the Save button in the bottom right corner.

When Changes Completed appears at the bottom of the screen, the settings have been saved successfully.
Notes:
- If saving fails, an error message will appear. You can download the error log file to check the specific reason for the failure.
- When a member belongs to multiple groups, and permissions overlap, the smallest permission among the groups will take precedence.
