About Audit Mode

Audit Mode is a dedicated viewing mode in Notta designed for corporate compliance, internal controls, and external audits.
It allows auditors to securely and completely review necessary information without impacting daily operations or risking data alteration.

πŸ’‘ What is Audit Mode

Audit Mode is a special read-only mode available only to auditors who have been approved by the Workspace Owner and have passed Notta's security screening.

  • Writing, editing, and downloading are strictly prohibited.
  • All operations are automatically recorded by the system.
  • Auditors are not displayed or notified to regular workspace members.

This provides clear accountability and visibility for the auditor without affecting the individuals being audited.

 

βœ… What Auditors can do

In Audit Mode, the following operations are possible:

View all workspace records (Read-Only)

Auditors can review public data across the authorized Workspace.

*Records that are currently being transcribed or waiting for transcription cannot be viewed.

Key content available for viewing:

  1. Audio and Video recordings
  2. Completed transcription text (including translations)
  3. Generated AI Summaries / Mind Maps
  4. Attached images and PDFs
  5. Folder structure (Public folders only)
  6. Deleted files
    *Generally, data deleted within the last 30 days can be viewed.
    If "Deletion Settings" β†’ "Auto-delete records and folders" is enabled, data within the configured period can be viewed.

Search and Reference

Field search and keyword search (supports partial matches).

 

🚫 What Auditors cannot do (Important)

Audit Mode is strictly read-only.
The following operations are completely prohibited:

πŸ›‘οΈ Security Measures

Visual Security Presence

  1. An "Audit Mode Active" banner is permanently displayed at the top of the screen (cannot be hidden).
  2. A Watermark is displayed across the entire screen including:
    • Auditor's email address
    • IP Address
    • Access Date and Time

This deters unauthorized data removal and screenshot leaks.

 

Two-Factor Authentication (required every time)

  • Email authentication is mandatory every time Audit Mode is accessed
  • The audit session expires automatically after 10 minutes of inactivity
  • Re-authentication is required after a session expires

 

πŸ“˜Application Procedures for Auditor Permission

Eligible Requester: Owner

Eligible Candidates: All users currently in the Workspace (Owners, Admins, and Members)

Application Flow:

  1. Go to Settings > Security > Audit Access to open the application screen.

  2. Click the Add Auditor button.

  3. Select the user you wish to designate as an Auditor from the member list.

  4. Enter the reason for the application and submit.

  5. After Notta completes the internal screening and approval process, a notification will be sent to your registered email address.

  6. The Auditor permission for the selected user will then become active.

 

πŸ“– Audit logs and traceability

All operations performed during Audit Mode are saved as audit logs with the following characteristics:

  1. Auditor's viewing, searching, and access behavior
  2. Authorization and revocation actions performed by the Owner
  3. Tamper-proof
  4. Stored for internal audit and compliance purposes

*Audit logs are not visible to regular workspace members.

Audit Mode is designed to avoid unnecessary confusion in the workplace.

❌ Auditors are not displayed in the member list

❌ Accessing Records does not affect view counts or sharing history

❌ No "Someone viewed this" notifications are sent
