You can use Notta Bot to record and transcribe conversations in Zoom Breakout Rooms. This article explains how to set up Breakout Rooms, assign Notta Bot to a breakout room, and stop recording properly.
Before you start
Make sure the Breakout Rooms feature is enabled in your Zoom account. You can find this setting under Settings > Meeting > In Meeting (Advanced).

How Notta Bot works in Breakout Rooms
Here's how Notta Bot works with Zoom Breakout Rooms:
- One bot per breakout room: A Notta Bot can join only one breakout room at a time.
- Use a separate bot for each room: If multiple breakout rooms are running at the same time, you need one Notta Bot for each room you want to record and transcribe.
- Your workspace has a concurrent bot limit: The number of Notta Bots that can be used at the same time is based on the total number of seats in your workspace, not the number of active users.
Example: If your workspace has 5 seats on the Business Plan, up to 5 Notta Bots can be used concurrently. You can use these bots to transcribe up to 5 breakout rooms or 5 concurrent meetings across your workspace.
If all available bots are already in use, you will receive an error indicating that all bots are busy when you try to add another bot.
How to send Notta Bot to a breakout room
- Add Notta Bot to the Zoom meeting. In Notta Web or the Notta app, add Notta Bot to the meeting using the Zoom meeting link.
- Open the Breakout Rooms menu. In Zoom, open Breakout Rooms as the meeting host or co-host.
- Assign Notta Bot to a breakout room. Assign Notta Bot to the desired breakout room in the same way you assign a participant.
- Start the breakout room. When the breakout room starts, Notta Bot will automatically move to the assigned room and start recording and transcribing the conversation.
What happens when a breakout room ends?
When the host closes the breakout rooms, Notta Bot automatically returns to the main meeting.
- Notta Bot returns to the main meeting: The bot leaves the breakout room and returns to the main meeting with the other participants.
- Recording continues: Notta Bot continues recording and transcribing the main meeting unless you stop the recording or remove the bot.
*When breakout rooms are closed, it may take a moment for Notta Bot to leave the breakout room and return to the main meeting.
How to stop recording
To make sure Notta Bot stops recording when your meeting ends, use one of the following methods:

End the meeting for everyone (recommended): If you are the host, select "End Meeting for All" in Zoom. This disconnects all participants, including Notta Bot, and stops the recording.
Important: When participants or hosts click "Leave Meeting" rather than ending the meeting for everyone, Notta Bot may remain connected.
If two or more bots or participants remain, the session continues and Notta Bot will transcribe until it hits the 5-hour maximum limit, consuming extra transcription minutes.
- Remove Notta Bot from the meeting: Remove Notta Bot from the Zoom participant list. This disconnects the bot and stops the recording.
- Stop the recording in Notta: If you have already left the Zoom meeting but Notta Bot is still recording, open the corresponding transcription in Notta and click Stop Recording.
