Add or remove seats

Notta's Business and Enterprise plans allow multiple users to collaborate within a single workspace. You can adjust the number of subscription seats according to your team size.

Understand seats in your workspace

A workspace's maximum user capacity depends on the number of seats. Each user who accesses the workspace occupies one seat, no matter their role.

The number of seats doesn't always match the actual user count. When there are free seats available, you can keep inviting new users.

Some features with usage limits—such as AI Notes—have their quotas allocated based on the total number of seats and shared among all workspace members. Similarly, the number of Notta Bots available in the workspace depends on the number of seats.

Therefore, purchasing additional seats can help you accommodate more users and also serve as a way to increase the available feature usage limits for your workspace.

How adding seats affects your billing

The cost for adding seats is calculated on a pro-rated basis, based on the number of days remaining in your current billing cycle. You will not be charged retroactively for periods before the seats were added.

Amount due = (Number of days remaining in the billing cycle ÷ Total days in the billing cycle) × Price per seat × Number of added seats
  • Number of days remaining refers to the days from when the new seats become active until the next billing date.
  • Total days in the billing cycle refers to the total days from the start to the end of the original subscription period, regardless of when seats are added.
  • Price per seat may vary depending on the timing of your subscription.
  • Number of added seats is the difference between your total seats after addition and your previous seat count.

Once your payment is processed, the additional seats will be available immediately.

Adding seats does not change your next billing date. Your subscription will continue as scheduled, and at your next billing date, your plan will be renewed as a whole based on the updated seat count.

 

Steps to add seats

  1. Log in to Notta Web from your computer and click your Profile image > Settings in the upper right corner of the screen.

  2. On the Billing screen, click the Change button in the "Number of seats" section.

  3. Specify the new number of accounts, and the additional cost will be displayed. After confirming the amount, click Subscribe for More Seats to complete the purchase.

Reduce seats in your workspace

How seat reduction affects users

When you reduce the number of seats, users exceeding the new seat count will be automatically deactivated. Deactivated users will lose access to the workspace.

Users will be deactivated in the following order:

  • Members are deactivated first, followed by Admins.
  • Among users with the same role, those who joined the workspace most recently are deactivated first.

Recommended actions before reducing accounts

User deactivation is performed automatically by the system according to the rules outlined above. If users who should retain access are included in the deactivation target, they may temporarily lose access when the seat count is reduced.

To prevent this situation, we recommend that you remove users who no longer need access in advance and adjust the number of active users to fit within the new seat count. This helps ensure that essential users are not unintentionally deactivated.

 

Handling of data ownership

  • Automatic deactivation by the system:
    When a user is automatically deactivated, their ownership of the data they created remains unchanged. Although the user loses access to the workspace, their status as the data owner is still maintained.
     
  • Manual removal by the workspace owner or admins:
    When a user is manually removed from the workspace by the owner or admins, ownership of the data they held is automatically transferred to the workspace owner. Once the ownership is transferred, even if the user regains workspace access, their original ownership cannot be restored. To access previously owned data, they must request permission from the current data owner.

 

Steps to reduce seats

Currently, you cannot reduce the number of seats on an active subscription.

To reduce seats, you need to cancel your existing subscription on the Notta web version. After the current subscription expires, you can create a new subscription with the desired number of seats.

Please rest assured that cancelling your subscription will not delete any of your data. After the subscription expires, your workspace will automatically be downgraded to the free plan, which limits access to some features. You can restore your previous access by subscribing again.
