Sync and update CRM data

Notta Sales Agent is an AI-powered tool designed to streamline sales activities. It strongly supports sales operations with a variety of functions, including sales meeting analysis, sales team performance evaluation, and CRM integration.

This article explains how to sync Sales Agent's analytical data to CRM.

Note: Administrator configuration is required in advance to use Notta Sales Agent. Please refer to this article for configuration instructions.

Prerequisites for using this feature
Plan: Available on Business and Enterprise plans with Sales Agent activated
Role: To update CRM data, you need Can edit and download or higher permissions
Platform: Notta Web

Add records to agent folder

You can include existing records for analysis by moving them to the agent folder, or create new records directly within the agent folder.

  • For information on how to move existing notes to the agent folder, see here.
  • The method for creating new records in the agent folder is as follows:
    1. Click All Records displayed in the left sidebar of the Notta Web version.
    2. Start transcribing and create a new record within the agent folder.
      • Click the + icon next to the agent folder displayed in the navigation bar. Select a transcription method from the displayed options and start transcribing.

      • Open the agent folder and click New Records in the upper right corner. Select a transcription method from the displayed options and start transcribing.

Sync and update CRM data

Sync and update customer data

  1. Open a record that is stored in the agent folder.
  2. Click the CRM icon (HubSpot or Salesforce logo) on the right side of the transcript area.

  3. Set the speakers.
    1. Click Speaker #N, enter the name, and search.
    2. The following settings are recommended to ensure that the Sales Agent can correctly identify sales representatives and customers.
      • Sales Representative: Select the name of the sales representative from the Notta workspace member list. If the name is displayed in the Members section, that is a member of the current workspace.
      • Customer: Select the customer name from the synchronized HubSpot or Salesforce customer list. If the name is displayed in the Guests section and has the HubSpot or Salesforce label, that is a customer registered in HubSpot or Salesforce.

  4. Click the CRM icon next to the customer name to display options related to customer data. Select one of the options to synchronize meeting information and AI summaries to the CRM.

Sync and update deal data

  1. Click Select a Deal.

  2. After selecting a deal, you can check its current property values.
  3. If you need to update any property values, enter the new values. In addition to manual entry, there is also an AI-powered auto-fill function. You can manually edit the results generated by AI as needed.
    • To enter manually, click the input field for the property value and enter the content.
    • To use AI-powered auto-fill, click Auto-fill values.

  4. Click Save to synchronize the updated property values to the CRM.
  5. To update property values later, click the CRM icon next to the deal to open the update screen.

  6. Action items included in the AI summary are considered tasks for this deal. Click the CRM icon next to "Tasks" to synchronize the tasks to the CRM.
