By setting up auto-move rules, you can automatically transfer transcription results of eligible calendar events into the agent folder. This quickly categorizes all sales-related meetings awaiting analysis, reducing the workload of manual transfers.

How does auto-move work?
Your calendar events contain participant information. Once a transcription record from a calendar event is created, Notta will use your pre-set conditions to identify eligible participant email domains and automatically move the transcription results of qualifying calendar events into the agent folder.
The process generally follows these steps:
1. Trigger:Transcription is completed.

- ✅ System condition: This record was created when Notta Bot automatically joined a web meeting via calendar integration.
- ✅ User-defined condition: The email address domains of participants registered in the relevant calendar event match the automatic sorting criteria.

3. Action:The record is moved into the agent folder.
Understand user-defined conditions
Calendar event transcription (auto) is a required system condition and cannot be changed. In addition to this, there are two user-configurable conditions:
Includes external participants outside the domain list is a condition for external participants who are not part of your organization (e.g., your clients).
This condition currently identifies external participants by excluding members who belong to your organization. If enabled, you can enter up to 20 email domains to recognize members of your organization. Users with these email domains will be considered internal participants and will not be counted as external participants.
Set auto-move email domain criteria
- In the left sidebar of the Notta Web version, click Sales Agent, then click Settings in the top right corner of the screen.
- Under the General Settings tab, find Auto-move to Agent Folder.
- Toggle on the conditions you want to set, and follow the on-screen guide to configure them. These two condition sets can be used individually or combined.
- Individually: If only one condition is enabled, any transcription record that meets that condition will be automatically moved to the agent folder.
- Combined: If both conditions are enabled simultaneously, the record must satisfy both to be moved.
- Once you've set your conditions, click Update to save the changes.
