"Need Admin Approval" when linking Microsoft account?

Introduction

When logging into Notta with a Microsoft account or linking your Outlook calendar, you may encounter a "Need admin approval" message.

This happens because your organization's IT policies restrict users from granting permissions to external applications independently.

Since Notta requires specific access to your Microsoft account data—such as calendar details for meeting recordings—an approval process must be initiated to bridge this permission gap. Depending on your organization's workflow, this process can be triggered either directly by an administrator or requested by an individual user.

How do I proceed with approval?

The approval process is primarily divided into two flows, depending on the scope of permissions being requested.

Scope of this article
Admin Consent Flow
This flow allows administrators to approve access permissions for the entire organization or individual users. There are two main ways to initiate this process:
  • Direct approval by the admin: The administrator pre-approves access for the organization.
  • Approval request by a regular user: The user submits a request to the admin from the application interface.
 
User Consent Flow
This flow applies when the requested permissions fall within the user's own access scope. The user can follow the on-screen instructions to grant the required permissions to their account.

*If the user does not have permission to grant access, they will automatically be directed to the "Admin Consent Flow".

This article focuses primarily on cases that require administrator approval. Below, we explain the two paths for proceeding with the Admin Consent Flow and provide step-by-step instructions for each.


Administrator-led: Pre-approve access for the organization

Administrators can grant organization-wide access to Notta, avoiding the need for each user to approve individually.
  1. Sign in to Notta using an administrator account.
  2. The Microsoft consent screen will appear with a dialog titled "Permissions requested". This screen lists all the data and resources that Notta requires access to.
  3. Review the listed permissions and check the box for Consent on behalf of your organization at the bottom of the dialog.
  4. Click the blue Accept button at the bottom right of the dialog.
  5. Once this action is completed:
    • The app will have access permissions for the entire tenant (organization).
    • From then on, regular users will be able to sign in without seeing the consent screen or submitting approval requests to the admin.

User-led: Request access approval from admin

Users must request access to Notta using their own account and obtain approval. The process includes three main stages.

Stage 1: <Administrators> Enable the consent workflow

  1. Administrators, go to https://entra.microsoft.com/.
  2. Click Entra ID > Applications > Enterprise applications > Admin consent settings.
  3. Under Admin consent requests, select Yes for Users can request admin consent to apps they are unable to consent to.

Note: It may take about 10 minutes for the settings to take effect after the administrator completes the operation.

 

Stage 2: <Users> Request approval from administrators

Once the administrator completes the setup, the "Approval required" screen will appear when the user tries to link their Microsoft account again. After entering the reason for access, click Request approval. This will send an email to the administrator.

 

Stage 3: <Administrators> Approve user requests

  1. Administrators will receive an email notification about a pending request to review. Click Review the request to open the Admin consent requests page under "Enterprise applications" in the Microsoft Entra admin center.
  2. Notta will appear in the "My pending" list. Click Notta to view details, then click Review permissions and consent in the upper left of the details page and follow the on-screen instructions to complete the approval. 
  3. Once the administrator approves the user's request, the user will be able to use the Microsoft account integration in Notta.
