FAQs
Are files uploaded directly to Notta Brain chat saved to the workspace?
No. Files uploaded directly from the chat interface are limited to use within the current chat session only. They are not automatically saved to or shared in the workspace's shared database (library) or storage.
Can other team members see files uploaded to Notta Brain?
This depends on how the file is uploaded.
-
If the file is uploaded directly from the chat: The file is only available within that specific chat and can be accessed solely by the person who uploaded it.
-
If the file is referenced from the library: Access follows the permission settings of the original file in the Notta workspace.
- Files with sharing enabled: Any member who has viewing permission can also access and reference the file in Notta Brain.
- Private files: These remain accessible only to the file owner and are not visible to other members.
How can I manage access permissions for files referenced in Notta Brain?
Please choose one of the following upload methods based on your intended use:
- If you want to keep a file completely private: Upload the file directly from the Notta Brain chat. The file will only be accessible within that chat, ensuring privacy.
- If you want to share knowledge with your team: Upload the file to the library and configure appropriate sharing permissions within the workspace.
💡 Permission management by file type
-
PDF files: At this time, individual permission settings are not available for PDFs. Access is controlled by the workspace-level Internal Sharing Settings.
- When internal sharing is enabled: The file is shared with all workspace members according to the configured access permissions.
- When internal sharing is disabled: Only the person who uploaded the file can view and reference it.
-
Important: Changes to internal sharing settings apply only to files uploaded after the change. Existing PDF files will not have their access permissions updated retroactively.
- Records and folders: Access permissions (public or private) can be edited at any time from the workspace admin screen, and changes take effect immediately.
