Workspace owners and admins can manage Notta Brain access, credit limits, and feature permissions from Notta Web. This article explains how to set workspace defaults, customize settings for individual members, update multiple members, and import settings by CSV.
Prerequisites for using this feature
Plan: Available on an eligible Brain Business Plan or Brain Enterprise Plan
Roles: Configurable only by Owner and Admin
Platform: Notta Web
Set workspace defaults
- Go to Workspace settings > Members, then open the Workspace default Brain settings.
- Choose whether to allow Notta Brain by default, set the monthly credit limit and feature permissions, then click Save.
- Workspace defaults apply to both existing and new members. You can allow Notta Brain by default and block specific members, or block it by default and allow only selected members.

- Review the impact and save.
About credit limits
- Monthly limit: Sets the same monthly credit consumption cap for each member. Credits are shared across the workspace; they are not reserved for individual members.
- Use Workspace credit limit: Members can use the workspace's shared credits until all available credits are used.
- Limit of 0: Keeps Brain access but blocks credit-consuming actions. Permitted actions that cost no credits remain available.
You can configure permissions separately for Slides generation, Image generation, Library upload, Smart Fill, and Scheduled task. Library upload restrictions do not apply to temporary files uploaded only for the current chat.
Note: Blocking Notta Brain access or scheduled tasks pauses existing scheduled tasks. Re-enabling access does not resume those tasks automatically.
Customize settings for an individual member
- In Members, open Member details > Brain access & usage.
- Select Customize member settings. Change the fields that need a personal value, then click Save.
- Review the values that apply to the member.
- Use Workspace credit limit: Includes rollover credits from the previous month.
- Set a custom limit: The maximum is the fixed monthly credit allowance in your plan, excluding rollover credits.
Personal values take priority only for the fields you customize. All other fields continue to use the workspace defaults. Changing a credit limit or feature permission alone does not grant Notta Brain access.
To restore defaults, clear the relevant personal values. Choose Inherit Workspace settings to clear all personal Brain settings; review the fields being cleared before saving.
Update multiple members
- Open Bulk actions > Set Brain settings and select the members.
- Select Custom settings to change specific fields, or select Workspace settings to clear personal settings.
- Review the selected members and changes, then confirm.
Custom bulk changes update only the fields you explicitly select. Other personal settings remain unchanged.
Invite or update members with CSV
- In Members, open bulk import and choose whether to add new members only or update all members.
- To update existing members, download the bulk-update CSV and edit it. Keep the column headings unchanged.
- Upload the CSV, review the preview, then confirm the changes.
Important: All Brain fields are optional. Blank means use the Workspace default. When updating an existing member, blank clears that field’s personal setting; it does not keep the current personal value.
CSV fields
| Field | Required? | How to fill it in |
|---|---|---|
| Email address | Yes | Enter a valid email address. |
| Role | Yes | Enter a role supported by the template, such as Member or Admin. |
| Group | No | Enter an existing workspace group name in the template format. |
| User name | No | Enter up to 100 characters. |
| Brain access | No | Enter YES to allow or NO to block. |

Use uppercase YES or NO in every language. If any row fails validation, nothing gets applied. Correct the reported row and field, then upload the CSV again.
The bulk-update CSV exports personal values only; fields that use workspace defaults are blank. The separate member information download shows applicable values for reference and should not be re-imported.
Settings prepared for invited members take effect after they accept the invitation and become active.
