Notes:
- This feature controls access to Image generation, Slides generation, and Smart Fill only. Text-based AI features (chat, meeting summaries) are not affected.
- When a member's permission is turned off, no Credits are consumed for blocked generation attempts.
- New members are granted File Generation permission by default.
What is AI Generation Permission Management?
Admins can control which workspace members have access to AI generation features (Image generation, Slides generation, and Smart Fill). This helps enterprises manage AI Credit consumption and ensure AI usage complies with internal policies.
When permission is turned off for a member:
- All generation entry points are hidden from their interface.
- If they attempt to trigger generation via natural language, the request is blocked and no Credits are deducted.
💻 Web Instructions
Enable or Disable File Generation for a Single Member
- Go to Notta Brain (app.notta.ai/brain).
- Navigate to Settings > Workspace Settings.
- Click Notta Brain Usage in the sidebar.
- In the member table, find the Allow Generation column.
- Toggle the switch for the target member:
- ON — The member can use Image generation, Slides generation, and Smart Fill.
- OFF — All generation entry points are hidden and generation requests are blocked.
- Wait for the confirmation toast: "File Generation permission updated."
⚠️ The switch shows a loading state while updating. Do not click repeatedly.
Batch Enable or Disable File Generation
- Go to Notta Brain (app.notta.ai/brain).
- Navigate to Settings > Workspace Settings.
- Click Notta Brain Usage in the sidebar.
- Click Batch Operations.
- Choose one of the following:
- Enable File Generation — Selected members will be able to use AI generation.
- Disable File Generation — Selected members will no longer be able to use File Generation.
- Select multiple members using the checkboxes.
- A confirmation dialog appears:
- For enabling: "Selected members will be able to use AI generation after this change."
- For disabling: "Selected members will no longer be able to use AI generation after this change."
- Click Confirm.
Set Credit Limits (Batch)
- Go to Notta Brain (app.notta.ai/brain).
- Navigate to Settings > Workspace Settings.
- Click Notta Brain Usage in the sidebar.
- Click Batch Operations > Set Credit Limit.
- Select multiple members.
- Enter the new credit limit for selected members.
- Click Confirm.
CSV Import (Allow_Generative Column)
When importing members via CSV, you can include an Allow_Generative column:
- YES — Enable File Generation for this member.
- NO — Disable File Generation for this member.
- Blank — Defaults to enabled.
⚠️ Values are case-insensitive. Full-width characters are automatically converted. Invalid values will cause the row to be skipped with an error report.
📱 App Instructions
On iOS, Android, and Desktop apps, members with File Generation disabled will not see generation entry points (Image, Slides, Smart Fill).
If a member attempts to trigger generation via natural language, a notification card appears in the chat:
- For Members: "AI generative features have been disabled by your administrator." (No action button)
- For Admins: "You have disabled AI generative features." with a "Go to Settings to re-enable" button.
Management of permissions is only available on the web.
