Workspace owners and admins on the Business Plan or Enterprise Plan can centrally manage members' usernames. When username management is enabled, members cannot edit their own username in that workspace, and only owners and admins can update member usernames from the member list.
Prerequisites for using this feature
Plan: Available on Business Plan and Enterprise Plan
Role: Configurable only by Owner and Admin
Platform: Notta Web
Enable username management
- Open the target workspace.
- From the left navigation bar, select Members.
- Click Username management.
- Turn on Limit Username editing to owner and admins.
Once this setting is enabled, members can no longer edit their own username in this workspace.
Edit a member's username
- In the Members list, click the ︙ icon on the right side of the member whose username you want to edit.
- Select Edit username.
- Enter the new username and save the change.
The updated username will be applied within the selected workspace only. It does not affect the username used in other workspaces.
What members see
When username management is enabled, members cannot edit their username from their own settings page.
They will see a message indicating that the username in this workspace is managed by the owner and admins.
Disable username management
- Go to Members and click Username management.
- Turn off Limit Username editing to owner and admins.
After this setting is turned off, members can edit their own username again. Usernames that were changed while username management was enabled will not automatically revert to previous names.
Notes
- Usernames must be within 100 characters.
- Username changes are applied only to the workspace where the change was made.
- Email addresses and login credentials are not changed.
- Speaker names shown in past transcripts are not updated.
