With the settings below, you can automatically delete unwanted files after a specified period of time.
Prerequisites for using this feature
Plan: Available only on Enterprise Plan
Role: Only Owner can configure
Platform: Notta Web
- Click your Profile image > Settings in the upper right corner of the screen.
- Hover your cursor over the navigation bar on the left side of the settings screen and scroll down. When you see Security, click it.
- On the Deletion Settings page, toggle Automatically delete files to ON.
- Click the pencil icon next to Automatically delete files older than the specified number of days, then enter a value between 1 and 365. Files will be deleted once they exceed the specified retention period, counted from their creation date.
Choose how files and folders should be handled when their retention periods differ (Auto-Deletion Rules) from the following three options.
A. Delete expired records and empty folders (Recommended)[Behavior] Even if a folder itself has expired, it will not be deleted as long as it still contains valid (non-expired) files. The folder is deleted only after all contents have expired and the folder itself has also reached its expiration date. This is the safest option.
Example: If a folder with a retention period of "3 days" contains a record created today, the folder will not be deleted even after 3 days.B. Delete records only[Behavior] Only expired records (files) are deleted. Folders are retained and will remain empty even after their retention period has passed.
Example: After the 3-day retention period, the records inside the folder are deleted automatically, but the folder itself remains from day 4 onward.C. Delete expired folders[Behavior] Once a folder reaches its expiration date, it is deleted immediately without checking its contents. Any files inside the folder—including those still within their retention period—will also be deleted. Please use this option with caution.
Example: Even if a folder with a 3-day retention period contains a record created today, the entire folder will be forcibly deleted once the 3-day limit is reached.- Choose the action to take when the deletion rules are applied. You can select either Move files to trash or Delete files permanently.
Notes:
- Automatic deletion is not performed in real time. It runs once per day at a fixed time. As a result, data that has exceeded the retention period may remain until the next scheduled run.
- Changes to automatic deletion settings may take up to 24 hours to take effect, though they are usually applied sooner.
- You can review execution status and activity history under Analytics > Log Management > Record Operations.
